How we handle names, emails, and the files you send with a commission.

What we collect

From the enquiry form: name, email, organisation, commission in mind, optional trustee-meeting month, and your message. During a commission you may send gift exports and reviewer names. Gift exports sometimes include donor names; we treat those as confidential to the charity and use them only to draw the agreed documents.

Why

We process enquiry data to reply and to prepare a scoping note (legitimate interests in running a reporting studio, and steps toward a contract). Commission files are processed to perform the contract. We do not sell lists of donors or of fundraising leads.

Retention

Unsuccessful enquiries are kept for twelve months and then deleted. Commission files, invoices, and the delivered PDFs are kept for seven years for accounting and to answer a later question from the same treasurer. Donor-level extracts are deleted within ninety days after final delivery unless you ask us in writing to hold them until a reprint.

Your rights

You may ask for a copy of personal data we hold, ask us to correct it, ask us to delete it where the law allows, object to legitimate-interests processing, and complain to the Information Commissioner’s Office in the United Kingdom.

International transfers

We store working files on computers at the Talbenny studio and on a United Kingdom or European Economic Area host for email. If a subcontractor outside those places is ever used, we will put an appropriate safeguard in place and name it here before we send personal data.
