Board packs
A numbered pack that matches the agenda, issued while trustees still have a weekend.
Charities ask us for a quarterly pack when the current habit is a folder of forwarded spreadsheets. This page is the working order we use. It is not a calendar of public events.
Five working days, not the night before
We issue the PDF five working days before the meeting you name. That only holds if the treasurer has closed the month. If the close is late, the pack waits. A thin pack on time is not a kindness if the Gift Aid line is still a guess.
Order of pages
- Cover with the charity name, meeting date, and pack version.
- Decisions list — items that need a vote or a named follow-up, not a presentation.
- Giving against the forecast the treasurer already uses, with campaign names as they appear in minutes.
- Restricted balances on their own pages so café takings cannot be confused with a roof fund.
- Annexes the treasurer already intended to table, paginated rather than attached as loose files.
What we need from you
A draft agenda, the latest gift totals, the forecast spreadsheet, and any paper already in circulation. We will not invent a forecast. We will not minute the meeting.
Paper copies
Some Pembrokeshire trustees still want a set in the post. Meredith can print and send from Talbenny. Postage is billed at cost. Most boards now work from the PDF on a tablet; say which you are.
Standing work for four meetings in a year is quoted together, with a pause if a meeting is cancelled. A single meeting is billed on its own.
