Annual fundraising report and donor visual pack

A year of gifts, Gift Aid, and campaign notes turned into a trustee-ready report plus a shorter visual letter for people who gave a significant gift.

From £4,800 · Five to seven weeks from a complete gift export

Who it is for

UK registered charities and CIOs with a fundraising lead, a treasurer, and a board that expects a year-end account of giving — not a live software login.

What you receive

Trustees receive one bound narrative they can read before the AGM, and major givers receive a two-page visual note that names campaigns without reciting every line of the ledger.

Included

  • Trustee report (typically 16–24 pages) covering regular giving, appeals, events, grants, Gift Aid, and lapsed givers
  • Two-page visual letter for major givers
  • Print-ready PDFs and a short chair’s speaking note
  • Two revision rounds
  • Annotation of unusual months so a new trustee is not left guessing

Not included

  • Bookkeeping or charity accounts production
  • Donor solicitation or telephone stewardship
  • Building or licensing any database
  • Unlimited redrafts after the two agreed rounds

Who does the work

Elspeth Crane leads the figures and the narrative. Rohan Adeyemi writes the donor-facing pages. Meredith Pugh prepares print-ready files.

How the work proceeds

  1. Scoping call with the fundraising lead and treasurer to agree what the board actually argues about.
  2. Receipt of the gift export, campaign list, and restricted-fund notes.
  3. Draft report with annotated charts and a separate two-page donor letter.
  4. One trustee reviewer round and one staff round.
  5. Final PDF, print-ready pack, and a short handover note for the AGM chair.

Time and place

Five to seven weeks from a complete gift export. Remote across the United Kingdom. In-person working days at Talbenny by arrangement when print proofs need a table, not a screen.

What you prepare

A CSV or spreadsheet export of gifts for the financial year, campaign names as used internally, a list of restricted funds, and last year’s statutory accounts for cross-check only.

Limits

We do not log into your donor database. We do not telephone donors. Statutory accounts remain your accountant’s work.

Fee

From £4,800. Quoted after we see the number of campaigns, how Gift Aid is recorded, and whether restricted funds need a separate plate.

Next

Write with your year-end date and how many trustee copies you need. We will reply with a scoping note, not a software trial.
